Bluestem Center for the Arts takes event reservations all year round*. Both indoor and outdoor gathering spaces are available, and can be tailored to fit your event needs.  Please email rentals@bluestemcfa.org or call 218-477-6537 to make your reservation.

Reservations
Rentals can be booked up to a year in advance.
A deposit of 50% of the total rental fee is due when the signed contract is returned. Rental is not confirmed until receipt of deposit and signed rental contract. This deposit ensures that your date is “locked in”. The deposit WILL NOT BE REFUNDED IF CANCELLED. You will be billed for any damages that you or your guests inflict on BCFA property during your event

 Billing
• A deposit of 50% of the total rental fee is due when the signed contract is returned. Full payment is due within 14 days of the invoice date.
• Any other charges incurred during the event will be billed following the event.
• Checks may be made payable to Bluestem Center for the Arts. Visa, MasterCard and Discover are also accepted as means of payment.
• A 10% catering and liquor service fee is assessed on the renter’s final invoice on all catering and liquor sales.

 Cancellation Policy
Events may be cancelled if notice is given no less than 7 days prior to scheduled event. Deposits are non-refundable. Those events cancelled less than 7 days in advance will incur 100% of rental costs.

 To cancel a confirmed event, renter must notify Rental Coordinator by calling (218) 477-6537 Monday-Friday during business hours. Events cancelled more than 7 days in advance will not incur a cancellation penalty.

 Catering
All food must be prepared in a licensed kitchen. Mosaic Catering and Event Service is our preferred caterer.

Mosaic Foods is BCFA’s exclusive events caterer. Let Mosaic Foods compose a menu for your next event that is sure to be creative and memorable. Chefs Eric and Sara Watson believe in creating menus based on each client’s needs, likes, and budget. They will happily meet with you one on one to discuss every detail.

Smoking Policy
Bluestem Center for the Arts is dedicated to providing a healthy and comfortable environment for its employees and visitors. Therefore all building areas in the complex are smoke free. Smoking is not permitted in the amphitheater or within 20 feet of any building entrance with the exception of designated smoking areas.

Use of Bluestem Center for the Arts as a Commercial-For-Profit Photographic Site
Bluestem would be happy to provide its facilities for your next photo session. Bluestem Center for the Arts is a premier destination with several sites on campus that are well suited for use by commercial photographers for print, television, online media or commercial production, as long as the production reflects the basis of our mission. Our facilities can be made available by permit only.

1. Photo permit requests will be approved 2- 5 days prior to the requested date. Each session is scheduled separately and will not be approved during other scheduled events. In order to ensure a timely response to your request, please contact BCFA at least 7 days in advance of the requested dates.
2. There is a $35/hour permit fee; one photographer per permit.

Posed*/Commercial-For-Profit shoots are required to pay a permit fee.

Why is there a fee to hold a shoot at Bluestem? Bluestem Center for the Arts receives no city money and is funded entirely by grants, donations, and sponsorships. Part of our revenue comes from rental fees charged to those who wish to use Bluestem’s facilities for their own profitable, promotional, or exclusive use. All permit fees are used to support the arts experiences at Bluestem Center.

*Definition of Posed Photography: Bluestem Center for the Arts defines posed photography as any photographer (amateur or professional) that gathers a group together for a photo and/or poses individuals for wedding, prom, family, or engagement photos.
